Stages

Stages let you and Uclusion understand the state of a job’s collaboration at all times.

When a comment action changes a job’s stage, the page shows the expected stage immediately and starts checking for the server’s update. If the update has not arrived after 20 seconds, the page restores the previous stage and stops those checks. A later server update still corrects the stage. Adding or moving an open task onto a Reviewable job keeps its new stage without this timed fallback.

Approvable

This stage is for jobs that are assigned but not approved or waiting on completion of other jobs. Approvals added in this stage will expire after a configurable amount of time.

Changing a job’s assignments will remove all approvals and return the job to this stage.

You can also specify required approvers that will be sent a persistent notification.

Requires Input

Jobs waiting on a qualifying question or suggestion display in this stage. In particular, every open AI-authored question interrupts a Doable or Reviewable job until a current human assignee makes it answerable and the AI resolves the answered question. Any human can instead Resolve directly to delegate the choice to the AI. A reply or vote from someone who is not a current assignee is advisory and does not move the job out of Requires Input.

Blocked

Jobs with an open blocking issue display in this stage. Resolving or removing the last blocking issue returns the job to the flow it was in before the block.

Doable

Only an assignee can move the job into Doable and then a notification for a progress report or new estimated completion date is sent once past the current estimate. A job that goes a workspace configurable number of days without an estimate automatically moves back to Approvable.

So a job cannot silently rot in Doable: either its estimate is current, a progress report was just shared, or the job visibly drops out of in progress.

Entering a progress report sends to the view so that they can reply or review.

Reviewable

Reviewable stage indicates the job is not actively being worked on but may still change after feedback. In order to move to this stage all tasks must be resolved. Moving to Reviewable prompts for creation of a progress report and that report may gather more feedback. If a task is opened the job will automatically change stage.

The number of jobs visible in the swimlanes for Reviewable is configurable:

Skippable

Moving to Skippable automatically resolves all open comments. Skippable jobs are visible only in the backlog.

Backlog

Unassigning a job automatically moves it to this stage. A Ready to Assign job will display in the backlog and on the job status page.

Backlog supports discussion before a job is assigned. Eligible comments from a human or AI notify people following that job. Sending comments and replies, including notes, grouped tasks and resolved comments, or voting on the job or its options starts following it unless you have already unfollowed. Creating the job or being assigned alone does not start following it.

Follow a job to hear about its discussion before you have participated. Mentions can address specific people, notes without mentions remain quiet, and a silent comment sends no notification. Unfollowing stops ordinary Backlog comment notifications while mentions and direct replies retain their usual behavior. AI comment notifications appear in the inbox and can reach Slack, while email remains suppressed.
